Return Conditions

Return Item Conditions

Quick Summary: Add custom labels that describe the condition of returned items.

Overview

Return conditions identify the state of a returned item, such as New, Used, or Damaged. System conditions provide common labels. Custom conditions add labels that fit your returns process.

Open Returns → Return Conditions. The page heading and breadcrumb use Return Item Conditions. The menu appears only when custom return conditions are enabled for your account. Inventory read or write access lets you view conditions. Adding, editing, or deleting conditions requires inventory write access.

Add a condition

  1. Open Returns → Return Conditions.
  2. Select the + button.
  3. Enter a Name.
  4. Keep the suggested Code or enter your own.
  5. Keep Status set to Active, or switch it to Inactive.
  6. Select Save.

New conditions are active by default. The Name becomes a suggested Code until you change the code. Use lowercase letters, numbers, and hyphens in the code. Each name and code must be unique among existing custom conditions. Choose a custom code for each new or changed condition. The code cannot match a system code, even when system codes are hidden.

Custom conditions list

Column Description
Name Condition label. Select it to open the condition
Code Identifier used with return items
Status Active or Inactive
Last Updated Date and time of the last change

Search by Name or Code. Only active custom conditions appear by default. Use Include Inactive to review inactive conditions. Use Include Deleted to review removed conditions.

Change a condition

  1. Select the condition's Name.
  2. Select Edit.
  3. Change the Name, Code, or Status.
  4. Select Save.

The detail view shows the name, code, status, and creation and update dates. Changing the name does not change the code. An inactive condition stays available to existing return items, but is not offered for new selections. To restore it to the selection list, edit it and switch Status to Active. Existing custom conditions that use a system code can still be edited. To repair one, change Code to an unused custom value and select Save.

Delete a condition

  1. Open the condition.
  2. Select Delete.
  3. Confirm the deletion.

Deletion is irreversible in the portal. The condition becomes inactive and disappears from the normal list. Use Include Deleted to review the removed record.

Available condition codes

The Available Condition Codes panel shows the codes offered to your account.

Column Description
Code Identifier stored with a return item
Name Label displayed for the code
Type System or Custom

The system set includes New, Used, Unset, Damaged, Damaged packaging, Expired, and Cannot Decide. System codes are built in and cannot be edited from this page. Their codes stay reserved for new and changed custom conditions, even when hidden. Your account may hide system codes. If they are absent, only custom codes are offered.
