Account Preferences

Quick Summary: Configure order processing, notifications, tax settings, return behavior, and custom SMTP for your account.

Overview

Account Preferences control how your orders are processed, what notifications you receive, and other account-wide settings. Changes here apply to all users on your account.

Note: If you don't see certain settings, they may not be enabled for your account. Contact your Account Manager to enable additional options.

Note: If you don't see the Preferences section at all, ask your company administrator to update your access.

Quick Start

  1. Click your profile icon in the top right corner
  2. Select Account Management
  3. Click the Preferences tab
  4. Navigate between sub-tabs: Orders, Taxes & Duties, Return, SMTP Settings, Other Settings
  5. Adjust settings as needed
  6. Click Save

Order Preferences

Settings that control how orders are approved and processed.

Order Approval Type

Choose how incoming orders are approved for fulfillment:

Mode Behavior
Immediate Approval Orders are approved automatically upon import (default)
Manual Approval Orders require manual approval before processing begins
Delayed Approval Orders are automatically approved after a configurable delay

Immediate Approval

Orders move to Pending Fulfillment as soon as they pass validation. This is the fastest path to fulfillment.

Manual Approval

Orders arrive with status Pending Approval and wait until you manually approve them. Use this when you need to review orders before they ship — for example, to verify addresses, add special instructions, or hold orders for batched processing.

Delayed Approval

Orders are held in Pending Approval for a set time, then approved automatically. Set the delay using the Delay Time field (format: hh:mm:ss, minimum 1 hour).

Use this when you need a brief window to review or modify orders before they ship, but don't want the overhead of manually approving every order.

Apply to All Orders

When you change the approval type, toggle Apply to all Orders to update existing orders currently in Pending Approval status. Their approval schedule will be recalculated based on the new setting.

Piece Count

When enabled, new ASN (Advanced Shipping Notice) items default to requiring a piece count during warehouse receiving.

Auto Repack

When enabled, orders submitted through the API with unit-of-measure quantities are automatically repacked into inner and master cartons based on your product packaging configuration.

Packing Slip Settings

Setting Description
Use Company Logo Display your company logo on packing slips included with shipments
Packing Slip Logo Upload your logo image (appears when Use Company Logo is enabled)
Packing Slip Notes Add custom text that appears on every packing slip

Insurance

When enabled, orders are automatically insured during shipment. The insurance rate and coverage details are shown when you enable this setting.

Note: Insurance availability depends on your account configuration. Contact your Account Manager for details.

Signature

Upload a signature image and enter a signer name. This signature can be used on commercial invoices and other shipping documents.

  • Signature — upload a JPEG or PNG image of your signature
  • Signature Name — enter the name of the authorized signer

Order Email Notifications

When enabled, delivery and transit update emails are sent to your customers (consignee notifications). A Send Test button appears so you can preview the notification email.

Note: If you don't see this setting, contact your Account Manager to enable consignee notifications.

Default Reason for Export

Set the default customs reason for export applied to new orders. This value is used on commercial invoices and customs declarations. You can override it per order.

Common values: Purchase, Gift, Sample, Repair/Return, Personal Effects.

Taxes & Duties Preferences

Tax identification numbers used for customs and duties processing on international shipments.

Setting Description
IOSS Import One-Stop Shop number — used in the EU to simplify VAT collection on imported goods
OSS One-Stop Shop number — for EU VAT reporting
IOSS/OSS Issuer Country The country where your IOSS or OSS number was issued
Australian Registration Number Tax registration number for Australian customs requirements

Note: These fields are only visible if your account is configured for duties and taxes handling.

Return Preferences

Settings for return order processing.

Setting Description
Auto Create RASN/QASN Automatically create grouped Return ASN or Quality ASN at end of day for received return items
Group RASN by SKU Create one RASN per SKU instead of grouping all returns together. Works in combination with Auto Create RASN/QASN

SMTP Settings

Configure a custom SMTP server for sending order notification emails from your own email address instead of the default system address.

Setting Description
SMTP Setting Master toggle — enable or disable custom SMTP
From Email The sender email address shown to recipients
Server Address Your SMTP server hostname
Port Number SMTP port (default: 25; common alternatives: 465 for SSL, 587 for TLS)
User Name SMTP authentication username
Password SMTP authentication password
Encryption Method Transport security: None, TLS, or SSL
SSL Keyfile Optional SSL client key file for certificate-based authentication
SSL Certfile Optional SSL client certificate file

Warning: Incorrect SMTP settings will prevent notification emails from being delivered. Test your configuration after saving.

Note: If you don't see the SMTP tab, contact your Account Manager to enable custom email sending.

Other Settings

Upload your company logo (JPEG, PNG, or SVG, recommended 512x512). This logo appears in your portal navigation and may be used on customer-facing materials.

Workflows

Workflow: Change Order Approval Type

When: You want to switch from automatic to manual approval (or vice versa).

Steps:

  1. Click your profile iconAccount ManagementPreferences
  2. Go to the Orders sub-tab
  3. Select the new Order Approval Type (Immediate, Manual, or Delayed)
  4. If switching to Delayed, set the Delay Time
  5. Toggle Apply to all Orders if you want existing Pending Approval orders updated
  6. Click Save

Result: New orders use the updated approval type. Existing orders update if the toggle was enabled.

Workflow: Set Up Custom SMTP

When: You want notification emails sent from your own email address.

Steps:

  1. Click your profile iconAccount ManagementPreferences
  2. Go to the SMTP Settings sub-tab
  3. Enable the SMTP Setting toggle
  4. Enter your From Email, Server Address, Port Number, User Name, and Password
  5. Select the Encryption Method (TLS or SSL recommended)
  6. Click Save

Result: Notification emails are sent from your custom email address.

Workflow: Enable Return Auto-Grouping

When: You want the system to automatically create grouped Return ASNs at end of day.

Steps:

  1. Click your profile iconAccount ManagementPreferences
  2. Go to the Return sub-tab
  3. Enable Auto Create RASN/QASN
  4. Optionally enable Group RASN by SKU to create one RASN per SKU
  5. Click Save

Result: Return items are automatically grouped into ASNs at end of day.

Duties and Taxes on International Shipments

Duties and taxes are separate from shipping charges and appear on your invoices for international shipments. If your account uses a third-party duties and taxes service, those amounts are estimated at shipping time and finalized through duties and taxes reconciliation or carrier billing. If your account excludes duties and taxes from the main invoice, the charges appear separately and may require manual invoice generation. Contact your Account Manager for details.

Estimates vs actuals: The duties and taxes shown on pending charges are estimates and may change when the final amounts are invoiced.

Troubleshooting
