Return Items

Return items

Quick Summary: Review individual returned items, their condition, and their processing status.

Overview

After a return order is received, Return Items shows each item separately. Warehouse inspection records its condition before you choose the next step.

The page does not open with return access alone. Seeing Quarantine, Restock, Forward, or Dispose also depends on your return access. Ask your company administrator if the page or actions are unavailable.

RI means Return Item number. Use it, or a product serial number, to identify one returned item.

Quick start

  1. Open Returns → Return Items.
  2. Use filters or search to find the return item.
  3. Select one or more items using the checkboxes.
  4. Choose Quarantine, Restock, Forward, or Dispose.
  5. Review the confirmation, then select Ok.

Return item list

The page heading and breadcrumb use Return Items List. The default table shows the following columns.

Columns

Column Description
Received Date Date the item was received
Return Item ID Return Item number
SKU Product SKU
Return FS# Return order Floship number
Parent Reference Reference on the original order
Condition Condition recorded during inspection
Status Current processing status

Select a column heading to sort the list. Select Return Item ID to open the item. If you manage several client accounts, the Client column is also available.

Filters

Use Received date to limit the list by receipt date. The Filter control provides these filters:

Filter Description
Status Processing status
Condition Recorded item condition
Warehouse Destination warehouse
SKU Product SKU
Destination Country Return destination country
Courier Return courier
Tracking Status Tracking status
Invoiced Status Invoicing status
Return Order Type Courier Return, Return RMA, or Return RMA No Labels
Serial Number Serial number on the return item

If you manage several client accounts, the Client filter is also available.

In the Courier filter, enter separate partial words in any order. For example, "Yun sign" and "sign yun" find "Yun Express Battery Registration - HK (With Signature)".

Search fields

The search box matches SKU, Return Item ID, return order FS#, parent order FS#, and serial numbers. Use filters for the other list attributes.

Export

Select at least one item, then select Download. If Select All is active, the current filters define the export.

The export runs as a task. Open Tasks to collect the finished file.

Conditions and statuses

Item conditions

Inspection assigns one of these system conditions:

Condition Description
New Appears new
Used Appears used
Unset Condition not yet recorded
Damaged Item appears damaged
Damaged packaging Packaging appears damaged
Expired Item has expired
Cannot Decide Inspection did not assign a condition

[pref allow_custom_return_conditions] Your account can also use custom condition labels. Open Returns → Return Conditions to manage them. [endpref]

Return item statuses

The status shows whether an item needs a decision or is being processed.

Status Description
Pending Action Waiting for you to choose what happens next
Pending Disposal Disposal requested; warehouse processing is pending
Pending Restock Waiting for the related Restock ASN (RASN) to be approved
Pending Forward Waiting for the related forwarding order to be fulfilled
Pending Quarantine Waiting for the related Quarantine ASN (QASN) to be approved
Disposed Disposal completed
Restocked Returned to available stock after RASN approval
Forwarded Forwarding order fulfilled
Quarantined Held from available stock and available for the next action

Choose a disposition

Return Items uses bulk actions. Confirm that every selected item allows the action before you proceed.

Action Available from Result
Quarantine Pending Action with a condition other than Unset Moves to Pending Quarantine, then Quarantined after QASN approval
Restock Pending Action, or Quarantined and not linked to a forwarding order Moves to Pending Restock, then Restocked after RASN approval
Dispose Pending Action, or Quarantined and not linked to a forwarding order Moves to Pending Disposal, then Disposed when completed
Forward Quarantined and not linked to a forwarding order Creates a forwarding order and moves the item to Pending Forward, then Forwarded when fulfilled

A Quarantined item linked to a forwarding order cannot be restocked or disposed. Confirming an action begins processing. The confirmation cannot be undone from this page.

ASN creation options

The Quarantine or Restock confirmation can offer immediate ASN creation. Select the checkbox to create the QASN or RASN now. You can also group items by SKU, or by condition for quarantine.

Track restock and quarantine progress

A progress notification reports queued work, Return Item preparation, and ASN creation or linking. Processing can continue after you leave the page. Refreshing the same browser tab can restore active notifications when browser storage is available.

A scheduled ASN remains Awaiting scheduled ASN creation until it starts. Completing this operation does not mean the warehouse has finished the physical restock or quarantine.

If the notification reports an error, some items may already be processed. Refresh the list and review any linked ASN before retrying.

Serial number updates

Serial numbers on a return item can change when serial numbers on its linked forwarding order, QASN, or RASN are corrected. Return to Returns → Return Items and use Serial Number to find the item.

Contact your Account Manager if the serial numbers still disagree. Correcting a received quantity is a separate change from correcting serial numbers.

Return item detail

Select Return Item ID to open the item. The client detail view is read-only.

The Product Details panel shows Date Received, Return Item ID, Value, Condition, Return Reason, Condition Reason, Serial Numbers, SKU, Description, UOM, and Product Quantity when available.

Related panels can link to the Related ASN, Forwarding Order, Return Order, and Original Order. The Photos panel shows inspection images when available.

Using quarantine stock through the Public API

A Public API forward order line can specify a condition. The order then uses only quarantined items with that condition at the requested warehouse. Without a condition, it can use any quarantined item for the SKU.

The request fails when the required quantity is unavailable. See Public API for forwarding-order details.
