Bulk Actions

Bulk actions

Quick Summary: Apply one action to many orders from the Orders list.

Overview

Bulk actions apply one change to several orders at once. You select the orders, choose the action, and confirm it once.

The Bulk action control is in the Orders list. It appears when your account can edit orders and stays disabled until you select an order.

The actions you see depend on your account setup and on the selected orders. An order that does not meet an action's rules is left unchanged or reported as an error.

Quick start

  1. Open Orders.
  2. Filter or search the list so the orders you need are shown.
  3. Select the orders with the row checkboxes.
  4. Choose an action from Bulk action.
  5. Complete the dialog, then click Ok.

The header checkbox selects the orders on the current page. When the list has more pages, it can also select every order that matches the current filters.

The list reloads after the action. A large selection can keep processing in the background, so check the orders again later.

Common actions

Action What it does Applies to
Approve Starts approval and fulfillment. The resulting status depends on the order type and its checks Orders waiting for approval
Cancel Requests cancellation. The outcome depends on the order type and stage Orders that are still in progress
Update Courier Changes the courier used for the order Incomplete, Pending Approval, and On Hold orders
Split Orders Moves a product SKU or quantity into a separate order Incomplete, Pending Approval, and On Hold orders
Add Order Priority Sets orders to High Priority or Low Priority Any order
Update Estimates Recalculates the estimated shipping cost Active orders
Re-sync From Source Re-imports order data from the connected sales channel Shopify and Shopline orders
Assign Tags Adds tags to each selected order Any order
Remove Tags Removes the chosen tags. Each tag must match exactly, including case Any order
Replace Tag Replaces one tag and keeps the other tags. Matching includes case Any order
Download Shipping Labels Emails a link to an archive of the selected labels Orders that already have labels
Download Commercial Invoices Emails a link to an archive of the selected invoices Orders that already have invoices

Split Orders asks for a product SKU, a quantity, or both. Without a quantity, every item of that SKU moves into a new order. An order without the SKU stays unchanged.

Approve moves an order out of Pending Approval when its checks pass. The next status depends on the order type and on label generation. An order that fails a check shows an exception.

Re-sync From Source updates the order from its sales channel. Lines of a split order are not updated. Orders from other channels do not support this action.

Cancel requires an order without an invoice and without tracking information. An eligible order becomes Canceled, or Pending Cancellation while the cancellation is confirmed. A fulfilled Parcel Forwarding order can also be canceled when your account allows it.

Document downloads

Download Shipping Labels and Download Commercial Invoices gather the stored files for the selected orders. The portal builds one ZIP archive and emails a link to your address. Open the link to download the archive.

Orders without a stored document are left out of the archive. See Labels & Documents for single order downloads.

Actions for eligible accounts

These actions appear only when your account uses the related feature.

Action What it does Applies to
Update Warehouse Moves orders to another warehouse and reports skipped orders Incomplete, Pending Approval, and On Hold orders
Update Packaging Assigns a different package to each order and rebuilds its packages. The selection must contain stock orders in an editable status, each with a courier and item lines Stock orders in an editable status
Return Order(s) Creates a return order for each selected order Fulfilled orders, when returns are enabled
Switch CF Batch Moves orders to another crowdfunding batch Crowdfunding orders
Create new CF Batch Creates a crowdfunding batch from the selected orders Crowdfunding orders
Convert to OnDemand Converts crowdfunding orders to on demand processing Crowdfunding orders
Create Pallet Groups the selected orders into one pallet Orders that share a courier supporting pallets

Update Packaging checks the whole selection before it changes anything. The action is refused as a whole, and nothing is changed, when no selected order is in an editable status, when none is a stock order, when every order already uses the chosen packaging item, or when any order cannot build packages. A package-building refusal names each reason and the number of orders with it, for example Cannot build packages for selected orders: no courier assigned (3). The reasons are no courier assigned, no order lines, and order lines without an item.

Because the check runs first, the action stops before it changes anything when an order cannot build packages. After the action runs, the chosen packaging stays on each order even when the goods do not fit it. If the order cannot measure a package, a weight is missing, or the courier rejects its size or weight, the order is not updated: it shows Not assigned package or keeps its previous package. Fix the listed condition, for example by assigning a courier with Update Courier, then run the action again.

Bulk uploads

The + menu on the Orders list also uploads spreadsheets.

Order Bulk Upload creates orders from a completed template. The upload validates each row before you save it. See Create an Order.

Order Bulk Update changes fields on existing orders. Order Label Bulk Upload attaches your own PDF or ZPL labels, or a ZIP of labels, after you map them to orders in the template. See Labels & Documents.

Troubleshooting

Issue Cause Solution
Bulk action is unavailable Your account cannot edit orders, or no order is selected Select at least one order; ask your administrator for order edit access
An action is missing from the list The action does not apply to your account or the selected orders Check the selected orders; contact your Account Manager if an action stays missing
An order was not changed The order does not meet the action's rules Open the order to check its status and exception
Approve did not change an order The order failed an approval check Open the order, fix the exception, then approve it again
The download link did not arrive The archive is still being prepared, or the email was filtered Check the mailbox again and its spam folder, then request the download again
Update Packaging reports that packages cannot be built Selected orders lack a courier, item lines, or an item on a line Fix the named condition on the counted orders, then run the action again. Nothing was changed
Update Packaging reports that all selected orders already use this packaging item Every selected order already has the chosen package Choose a different package, or select other orders
