Client Tracking
Quick Summary: Submit and monitor your own tracking numbers for shipments outside the normal order flow.
Overview
Client Tracking lets you track shipments that exist outside the standard Floship order flow. You can submit any tracking number from a supported courier and monitor its status directly in the portal — without needing a Floship order.
This is useful when you have shipments from other sources that you want to monitor alongside your Floship orders.
Note: If you don't see Client Tracking in your Tracking menu, contact your Account Manager to enable it.
Quick Start
- Navigate to Tracking → Client Tracking
- Click the + button and select Add Tracking Number
- Enter a Reference (your own identifier for this shipment)
- Enter the Tracking Number from the courier
- Select the Slug (courier) from the dropdown
- Click Add
- The system registers the tracking number and begins collecting updates automatically
The Client Tracking List
Columns

| Last Message | The most recent message from the courier |
Search and Filters
Use the search bar to find entries by reference or tracking number.
Click the Filter button to open the filter panel:

Adding a Tracking Number
- Click the + button at the top of the list
- Select Add Tracking Number
- Fill in the required fields:
- Reference — Your own identifier (e.g., PO number, batch ID)
- Tracking Number — The courier's tracking number
- Slug — Select the courier from the dropdown (must be a supported courier)
- Click Add
The system registers the tracking number with the courier and begins collecting tracking updates automatically.
Tip: Use meaningful references to make it easy to find entries later — for example, a purchase order number or supplier batch number.
Editing a Tracking Entry
Click a Reference or Tracking Number in the list to open the entry. You can update the reference or other fields, then click Save Changes.
Tracking Detail
Click a reference or tracking number to view the full tracking detail. This shows the same checkpoint event history as Order Tracking — with timestamps, statuses, locations, and courier messages.
How Tracking Types Work
Client tracking entries fall into two categories behind the scenes:
- Shipping service — When you add a tracking number through the portal, it is registered with the tracking system and status updates are collected automatically from the courier.
- Floship Orders — Some entries may be linked to existing Floship orders. These follow the standard order tracking pipeline.
You do not need to select a type when adding a tracking number — the system handles this automatically.
Webhook Notifications
If your account has webhooks configured, you can receive automatic notifications when client tracking entries update:

Common Workflows
Workflow: Track an External Shipment
When: You have a shipment from another source that you want to monitor in the portal
Steps: 1. Navigate to Tracking → Client Tracking 2. Click the + button → Add Tracking Number 3. Enter your reference, tracking number, and select the courier 4. Click Add 5. Check back later for tracking updates
Result: The tracking number is registered and updates appear as the courier scans the package.
Workflow: Monitor All Client Tracking Entries
When: You want to review the status of all your tracked shipments
Steps: 1. Navigate to Tracking → Client Tracking 2. Review the Tracking Status and Days Since Last Update columns 3. Filter by Tracking Status to focus on specific statuses (e.g., In Transit, Exception) 4. Click any entry to view full checkpoint history
Result: Overview of all tracked shipments with current status and last update.
Troubleshooting
| Issue | Cause | Solution |

| Cannot see Client Tracking in the menu | Feature not enabled on your account | Contact your Account Manager to enable Client Tracking |

| Tracking not updating after adding | Courier has not scanned the package yet | Wait 24-48 hours for the first update |
| Portal still shows In Transit but the courier website shows Delivered | Tracking providers sync in batches; the portal updates on the next sync after the courier confirms delivery | Confirm delivery on the courier's website and wait for the next sync. If the status stays behind for more than a few days, contact your Account Manager with the order reference |

FAQ's
How many tracking numbers can I add? There is no fixed limit. You can add as many tracking numbers as needed.
Can I delete a tracking entry? Tracking entries cannot be deleted, but they will naturally stop updating once the shipment reaches a final status (Delivered, Expired, etc.).
Do I need to know the courier to add a tracking number? Yes. You must select the correct courier (slug) from the dropdown when adding a tracking number. The system uses this to look up tracking information from the right courier.
Will I receive notifications when tracking updates? If your account has webhooks configured for tracking events, yes. Contact your Account Manager to set up webhook notifications.
