Preferences
Account preferences
Quick Summary: Set order approval, packing, tax, return, mail, and notification preferences for your account.
Overview
Account Preferences control how orders and documents are handled. Most order and document settings apply to the whole account. Daily reports and some notification choices apply only to your user.
Settings appear when your account feature and your user access allow them. If a setting is missing, ask your company administrator or Account Manager.
Quick start
- Open your username menu, then select Account Management.
- Select Preferences.
- Choose Orders, Taxes & Duties, Return, SMTP Settings, or Other Settings.
- Change the settings on that tab, then select Save.
Each tab has its own Save action. Save a tab before you switch to another tab.
Notification toggles are under Account Management → Notifications.
Saving settings
Most changes are stored when you select Save. These controls have separate behavior:
- Uploading Brand Logo saves the new logo immediately.
- Turning on Insurance saves after you confirm the coverage dialog.
- Turning on Order Email Notifications saves after you accept its terms.
- Turning Insurance or Order Email Notifications off is stored when you save that section.
A saved preference confirms the setting was updated. It does not prove later order processing, report delivery, or email delivery succeeded.
Account and order settings
Brand logo
Upload a JPEG, PNG, or SVG image. The logo appears in the Portal header and saves immediately.
Order approval type
Choose the default approval timing for eligible new orders.
| Setting | Behavior |
|---|---|
| Immediate Approval | Eligible orders are approved after validation |
| Manual Approval | Orders remain in Pending Approval until someone approves them |
| Delayed Approval | Eligible orders become ready for approval after the configured delay |
Immediate approval
The order moves toward Pending Fulfillment after it passes validation and account checks.
Manual approval
Review the order before approval. This setting suits orders that need address, instruction, or batch checks.
Delayed approval
Enter Delay Time as hh:mm:ss. Use at least 1 hour.
Apply to all orders
Turn on Apply to all Orders, then select Save, to update existing Pending Approval orders. Orders with a separate approval rule may keep that rule. Confirm affected orders after processing finishes.
Signature
Upload a JPEG or PNG signature and enter Signature Name. Shipment data includes the signature for services that use it. Select Save.
Piece count
Turn on Piece Count to make Yes the default for new Advance Shipping Notice (ASN) items. Select Save.
Auto repack
Turn on Auto Repack to repack API orders with unit-of-measure quantities into inner or master cartons. Select Save.
Packing slip settings
| Setting | Behavior |
|---|---|
| Use Company Logo | Places the company logo on packing slips |
| Packing Slip logo | Sets the image used when Use Company Logo is on |
| Packing Slip Notes | Adds custom text to every packing slip |
Select Save after changes.
Insurance
Turning on Insurance opens a confirmation with the current coverage and cost. Confirm to apply it immediately. Turn it off and select Save to stop future order insurance.
Order email notifications
Turning this on opens the current charges and terms. Confirm to enable customer order emails. Turning it off and saving deactivates all order email templates.
Send Test submits a sample to the signed-in user. A success message confirms submission, not inbox delivery. Manage individual templates in Order Email Notifications.
Default reason for export
Choose the value applied when a new order has no reason for export. You can override the value on an order.
Options are Purchase, Gift, Sale, Sample, Return, Repair, Personal Effects, Merchandise, and Replacement.
Tax identification numbers
These values identify tax registrations used in shipment and customs data. They do not calculate or settle duty and tax charges.
| Setting | Use |
|---|---|
| IOSS | Registration for eligible imports into the European Union under the Import One-Stop Shop |
| OSS | Registration for the European Union One-Stop Shop for certain cross-border supplies |
| IOSS/OSS Issuer Country | Country that issued the IOSS or OSS number |
| Australian Registration Number | Supplier's Australian Business Number (ABN) or ATO Reference Number (ARN) |
The IOSS/OSS Issuer Country is required when you enter an IOSS number. Select Save after changes.
Use the European Commission VAT One Stop Shop guidance for current IOSS and OSS definitions. Use Australian Border Force guidance for Australian GST registration and low-value imports.
Return preferences
| Setting | Behavior |
|---|---|
| Auto Create RASN/QASN | Groups marked return items into Return ASNs (RASNs) and Quality ASNs (QASNs) at end of day |
| Group RASN by SKU | Creates one Return ASN per SKU when Auto Create RASN/QASN is on |
Select Save after changes. Group RASN by SKU has no effect unless Auto Create RASN/QASN is also on.
SMTP settings
Set an account mail server for customer emails that use the account SMTP settings.
Turn on SMTP setting before editing the server fields. The fields remain disabled while the setting is off.
| Field | Entry |
|---|---|
| From Email | Sender address shown to recipients |
| Server Address | Mail server hostname |
| Port Number | Port required by the mail provider |
| User Name | SMTP account user name |
| Password | SMTP account password |
| Encryption Method | Blank, TLS, or SSL |
| SSL Keyfile | Optional client key file |
| SSL Certfile | Optional client certificate file |
Use the mail provider's current server, port, and encryption requirements. Saving stores the settings but does not test the connection.
Clearing the server, port, user name, and password removes the custom mail settings when you save.
Duties and taxes on international shipments
Tax identifiers in Preferences identify registrations used by shipment and customs processes. Review the order or invoice for a specific charge. Contact your Account Manager when you need help matching a charge to a shipment.
Troubleshooting
| Issue | Cause | Solution |
|---|---|---|
| Settings are missing | Your account or user access does not include them | Ask your company administrator or Account Manager |
| Changes are not saved | A field failed validation or another tab was left unsaved | Resolve the field error, then select Save on that tab |
| Existing approval orders did not update | Apply to all Orders was off, an order has an override, or processing has not finished | Review the toggle and the affected order, then confirm again after processing |
| A custom SMTP email fails | The mail settings do not match your provider or the provider rejected delivery | Compare the settings with provider requirements, save, then test delivery. If they match and delivery still fails, contact your Account Manager |
| Custom SMTP settings disappear | The server, port, user name, and password were cleared | Re-enter the required server details and select Save |
| The new brand logo is missing | The upload failed or the file format is unsupported | Upload a JPEG, PNG, or SVG image |
| Daily reports do not arrive | Your user setting is off or your contact email is wrong | Check the toggle and your user email |
| Low balance alerts do not arrive | No threshold, account rule, or eligible billing contact is available | Confirm the amount, account alert rules, and billing contacts |
