Account Setup
Quick Summary: Manage your users, preferences, integrations, security settings, and API access
Overview
Your account settings control who has access to the portal, what preferences are applied to your orders, which e-commerce platforms are connected, and how your security is configured. Most settings are managed through Account Management in your user menu.
Quick Start
- Click your profile icon in the top right corner
- Select Account Management
- You'll land on the default tab — browse available tabs to configure your account
- Make changes and click Save
- Review each tab to ensure your account is fully set up
Detailed Guide
Accessing Account Management
Click your profile icon → Account Management. You'll see tabs for each settings area:

Note: Not all tabs may be visible. Tab availability depends on your permissions and account configuration.
User Management
Manage who can access your Floship portal account.
Adding a User: 1. Open Account Management, then select the User Management tab 2. Click Add User 3. Fill in the required fields: - Email — the new user's email address - Name — first and last name - Permissions — select which portal sections this user can access 4. Click Save 5. The new user receives an email invitation to set up their password
Editing a User: 1. Click the user's row in the list 2. Update their details or permissions 3. Click Save
Tip: Give each team member only the permissions they need. This keeps your account secure and reduces accidental changes.
Preferences
Preferences control how your orders are processed and what features are enabled.
Open Account Management, then select the Preferences tab to view and configure:
- Order processing — how orders are approved and routed
- Notification settings — what events trigger email alerts
- Shipping preferences — default courier and service selections
Note: Some preferences are managed by your Account Manager. If you don't see an option you need, contact your Account Manager to enable it.
Security Settings
Keep your account secure with password management and two-factor authentication.
Changing Your Password: 1. Go to Security Settings 2. Enter your current password 3. Enter your new password and confirm it 4. Click Change Password
Two-Factor Authentication (2FA): 1. Go to Security Settings 2. Under Two-Factor Authentication, click Enable 3. Follow the setup instructions for your preferred method (authenticator app or SMS) 4. Enter the verification code to confirm setup
Warning: Store your 2FA recovery codes in a safe place. If you lose access to your authentication method, you'll need these codes to log in.
Notifications
Configure how and when you receive notifications.
Order Email Notifications — set up email alerts for order status changes: 1. Open Account Management, then select the Order Email Notifications tab 2. Select which status changes trigger an email 3. Add email addresses to receive notifications 4. Click Save
System Notifications — the portal bell icon shows: - File downloads ready - ASN received confirmations - Integration alerts
Integrations
Connect your e-commerce platforms to automatically sync orders and inventory.
- Open Account Management, then select the Integrations tab
- Click Add Integration
- Select your platform (Shopify, WooCommerce, Amazon, etc.)
- Follow the connection steps for your platform
- Configure sync settings

Warehouses
View your assigned warehouses: 1. Open Account Management, then select the Warehouses tab 2. See the list of warehouses handling your inventory
Note: Warehouse assignments are managed by your Account Manager. Contact them if you need changes.
Address Book
Manage saved addresses for shipping and billing: 1. Click your profile icon → Addresses 2. Add, edit, or remove addresses 3. Set default addresses for common shipping destinations
Embedded Forms
Configure embedded order forms that can be placed on your website: 1. Open Account Management, then select the Embedded Forms tab 2. Create or edit form configurations 3. Copy the embed code for your website
API Access
Access your API credentials to integrate programmatically with Floship.
- Click your profile icon → Developers
- View your API credentials — token-based authentication for the Public API
- View your MCP credentials — for AI agent integrations
- Use the API documentation to build your integration
Note: If you don't see Developers in your menu, contact your Account Manager to enable API access.

Common Workflows
Workflow: Onboarding a New Team Member
When: A new person joins your team and needs portal access.
Steps: 1. Open Account Management, select the User Management tab 2. Click Add User 3. Enter their email, name, and select appropriate permissions 4. Click Save 5. Have them check their email for the invitation link 6. They set their password and optionally enable 2FA
Result: New user can log in with their assigned permissions.
Workflow: Enabling Two-Factor Authentication
When: You want to add extra security to your account.
Steps: 1. Go to Security Settings 2. Click Enable under Two-Factor Authentication 3. Scan the QR code with your authenticator app (Google Authenticator, Authy, etc.) 4. Enter the 6-digit code to confirm 5. Save your recovery codes
Result: Future logins require both your password and a verification code.
Troubleshooting
| Issue | Cause | Solution |
|---|---|---|
| New user didn't receive invitation email | Email may be in spam folder or address was entered incorrectly | Check spam folder; verify email address in User Management and resend invitation |
| Cannot access a portal section | User permissions may not include that section | Check User Management and update the user's permissions |
| 2FA code not working | Time on your device may be out of sync | Ensure your device time is set to automatic; try generating a new code |
| API credentials not showing | Developer access may not be enabled | Contact your Account Manager to enable API access |
| Cannot change a preference | Some preferences are managed by your Account Manager | Contact your Account Manager for changes |

FAQ's
How many users can I add to my account? There is no fixed limit. Add as many users as your team needs.
Can I restrict a user to only see orders? Yes. When adding or editing a user, select only the Orders permission. They will only see the Orders section.
What happens if I lose my 2FA device? Use the recovery codes saved during 2FA setup. If you don't have those, contact qa-testing+operations@floship.com for account recovery.
Can I have multiple API tokens? Contact your Account Manager to discuss your API access needs.
What should I do if a user's password stops working?
First, have the user confirm they are on the correct login page and using their current email address. If the password is still rejected, send a password reset from Account Management. The reset email goes to the user's email address and may land in the spam folder.
