Create an Order

Quick Summary: Create orders manually one at a time, or upload hundreds via CSV/Excel bulk upload.

Overview

You can create orders in two ways: - Manual — fill out a form for individual orders - Bulk upload — upload a CSV or Excel file with multiple orders at once

For automated order creation, connect your e-commerce platform through Integrations or use the API.

Quick Start

Manual Order

  1. Navigate to Orders
  2. Click Create
  3. Enter the recipient's shipping address
  4. Add items (SKUs) and quantities
  5. Select a courier and shipping method
  6. Click Save
  7. Approve the order to send it for processing

For a stock order, select Stock as the order type on the Create Order form when that option is available. Availability can depend on your account or permissions.

Bulk Upload

  1. Navigate to Orders
  2. Click the + menu and select Order Bulk Upload
  3. Download the template file
  4. Fill in your order data
  5. Upload the completed file
  6. Review the validation results
  7. Click Submit to create the orders

Manual Creation

Required Fields

These fields must be filled in to save an order:

Order Information: - Order ID — your reference for this order (e.g., your platform's order number)

Shipping Address (destination): - Full Name — recipient's name - Address Line 1 — street address - City — city/town - Postal Code — zip/postal code - Country — destination country

Order Lines: - At least one SKU with a Quantity

Optional Fields

Priority Order Flag as high priority for faster processing
Ship From Location Override the default warehouse location
Order Type Stock, Crossdocking, or Parcel Forwarding

Courier Select a specific carrier (or let automation choose)

Additional address fields: - Contact Number — recipient's phone (may be required by courier) - Email ID — recipient's email (may be required by courier) - Company — recipient's company name - Address Line 2 and Address Line 3 — additional address lines - State/Province — state or province - Tax ID — recipient's tax identifier - EORI/IOSS Number — for EU customs compliance - Issuer Country — country that issued the EORI/IOSS

Customs address sections (for international orders): - Importer Address — importer of record details - Exporter Address — exporter of record details - Customs Broker Address — customs broker contact

Source address (when shipping from a non-default location): - Full Name, Company, Contact Number, Email - Address Lines 1/2/3, City, State, Postal Code, Country

Third-party billing (when the courier supports it): - Shipping Account ID, Country, and Postal Code - Customs Account ID, Country, and Postal Code

Document uploads: - Shipping Label — upload your own label (for self-pickup couriers) - Commercial Invoice — upload a pre-made commercial invoice - Attachment File — additional documentation

Adding Order Lines

  1. In the order form, find the Items section
  2. Search for a product by SKU or name
  3. Select the product from the dropdown
  4. Enter the Quantity
  5. Repeat for additional items
  6. The customs value, description, and other product details are pulled from your product catalog

Shipping Addresses and Multiple SKUs

One sales order has one shipping address. You can add multiple SKUs as separate lines in the same order when they are all going to that address. If items go to different addresses, create separate orders with separate order references.

For bulk upload, repeat the same order reference and the same address on each line that belongs to one order. Use a different reference for each destination.

Saving and Approving

After filling in all fields: 1. Click Save — the order is created with status Incomplete or Pending Approval 2. Review the order details for accuracy 3. Click Approve to send the order to the warehouse

Bulk Upload

Bulk upload lets you create many orders at once using a spreadsheet template.

Step 1: Download the Template

  1. Navigate to Orders
  2. Click the + menu and select Order Bulk Upload
  3. Select your Order Type (affects which template to download)
  4. If creating stock orders, select a Courier (affects available columns)
  5. Click the template download link to get the Excel file

Note: Template columns vary by order type and courier. Always download a fresh template for the specific order type you're creating.

Step 2: Fill In the Template

Key columns (all order types):

For Parcel Forwarding temporary SKUs, MID Code is optional. When supplied, it must start with a valid 2-letter country code and be no more than 15 characters.

Multi-line orders: To create an order with multiple items, use the same OrderID for each line. Each line adds an item to the order.

In this example, ORD-001 is one order with two items, and ORD-002 is a separate order.

Step 3: Upload and Validate

  1. In the upload dialog, select your completed file (.csv or .xlsx)
  2. Select the Order Type
  3. Click Upload
  4. Review the validation results — the system checks for:
  5. Missing required fields
  6. Invalid country codes
  7. Unknown SKUs
  8. Duplicate order IDs
  9. Address formatting issues
  10. Fix any errors in your file and re-upload if needed
  11. Click Submit to create the validated orders

Warning: Review validation results carefully before submitting. Orders with errors will not be created.

Bulk Update

Update existing orders in bulk using a spreadsheet:

  1. Click the + menu and select Order Update Bulk Upload
  2. Download the update template (OrderTemplateHeader.xlsx or OrderTemplateLineItem.xlsx)
  3. Select Update Type:
  4. Header — update order-level fields (address, courier, remarks)
  5. Line Item — update item quantities, values, or SKUs
  6. Fill in the Floship reference number and the fields to update
  7. Upload and review validation
  8. Click Submit

Header update columns include: courier, address fields, insurance value, shipping cost, packaging item, remarks, PO#, number of packages.

Line item update columns include: SKU, quantity, customs value, tax, duty.

The system automatically matches each SKU to the correct item in your product catalog based on the order. You do not need to specify item IDs or client details — the system resolves them from the order's existing data.

Tip: Leave columns blank to keep existing values unchanged. Only fill in fields you want to update.

Workflows

Workflow: Creating a Single Manual Order

When: You need to ship one order that isn't from an integration.

Steps: 1. Navigate to Orders and click Create 2. Enter the Order ID (your reference) 3. Fill in the shipping address 4. Search for and add product SKUs with quantities 5. Select a courier (or leave blank for automation to choose) 6. Add customs information for international orders 7. Click Save, then Approve

Result: Order created and queued for warehouse processing.

Workflow: Uploading Orders in Bulk

When: You have many orders to create at once.

Steps: 1. Navigate to Orders+Order Bulk Upload 2. Select order type and download the template 3. Fill in the template with your order data 4. Upload the file and review validation results 5. Fix any errors and re-upload if needed 6. Click Submit 7. Approve the uploaded orders (individually or in bulk)

Result: Multiple orders created and ready for approval.

Workflow: Updating Orders in Bulk

When: You need to change the courier, address, or other details on multiple orders.

Steps: 1. Navigate to Orders+Order Update Bulk Upload 2. Download the update template (Header or Line Item) 3. Fill in the Floship reference numbers and updated values 4. Upload and review validation 5. Click Submit

Result: Selected fields updated across multiple orders.

Troubleshooting

Issue Cause Solution
Upload shows validation errors Missing required fields or invalid data Check the error details, fix your file, and re-upload
SKU not found during upload Product doesn't exist in your catalog Create the product first, then retry the upload
Order saved as Incomplete Required fields are missing Edit the order, fill in all required fields, and save again
