Inventory: Overview

Inventory

Quick Summary: Register the products, packaging, and catalog groups used on your orders.

Overview

A product record connects your catalog item to an order line and its shipping details. Create the product before you order it, including orders created manually or through an integration.

The Inventory menu contains Products, Group Items, Item Variants, Packaging, and ASN.

Area What it contains
Products Individual items that you sell and ship
Group Items Kits or bundles that combine products under one SKU
Item Variants Alternatives that can fulfill the same variant SKU
Packaging Boxes and packaging materials used for orders
ASN Inbound shipments that send stock to a warehouse

Create a product

  1. Open Inventory → Products.
  2. Select +, then select Add Product.
  3. Enter the required product and customs details.
  4. Complete the Base Item dimensions and weight.
  5. Select Save.

The + menu appears only for users who can change inventory. If it is missing, ask your company administrator for access.

Required product details

Field What to enter
SKU A unique product identifier. The portal edit form keeps it read-only after creation
Description A name or description with at least two words and ten characters
Harmonized Code The customs classification code for the product
Customs Description The description used on customs documents. It also needs at least two words and ten characters
Customs Value The declared customs value, in USD
Country of Manufacture Where the product is made. Complete this field even when the form does not show an asterisk
Packaging Type The packaging method for the base item
Base Item Width, Length, Weight The dimensions in centimetres and weight in kilograms
Base Item Height Required except for poly bag items

When Has Battery is selected, also select a Battery Type and enter the Battery Weight. When Has Other Dangerous Materials is selected, enter the required Description.

Keep catalog details ready for orders

Use the same SKU when you create or import orders. Keep dimensions, weight, and customs fields current so packing and customs checks use the correct product data.

Add stock

Creating a product does not add stock. Create an ASN to send stock to the warehouse. For a standard ASN, stock appears after the ASN is Approved, not when the shipment is received.

Understand stock levels

The product list shows stock by warehouse. The product detail page shows these measures:

Stock measure Meaning
On Hand Available stock plus units in orders that are being processed but are not yet fulfilled
Pending Return Return units awaiting action, restock, disposal, or quarantine
Quarantine Return units held under quarantine
Available Stock available to fulfill orders
Reserved Stock committed to orders that have been created; their approval state can affect whether it is held
Total Available Available stock minus reserved stock

Manage your catalog

Products covers the product list, detail page, required fields, and editing. Product Bulk Upload explains bulk creation, bulk updates, and customs-value uploads.

Use Group Items for kits and bundles. Use Item Variants when interchangeable products can fulfill the same variant SKU.

Use Packaging for boxes and packaging materials.

Update a product

  1. Open the Products list.
  2. Select the product SKU.
  3. Select Edit.
  4. Change the product details.
  5. Select Save.

The portal edit form keeps the SKU read-only. If another value is read-only, ask your administrator for help.

To change many products, select + → Product Bulk Update. Review Product Bulk Upload before uploading the file.
